Shipping to Top Hydraulics:

1. Drain the Hydraulic Fluid:

  • Wrap your cylinder(s) in a shop cloth or paper towels.
  • Manually pump the cylinder rod several times to remove the oil.
2. Packaging:

  • Place the drained cylinder(s) in plastic bags and seal them well.
  • Pack them in a mailing box with enough padding to avoid movement or damage.
3. Payment:

  • Pay in advance using a credit card. Note that there are additional charges for international shipping; please contact us for details.Include a copy of your payment receipt or core return slip with the cylinders.
4. Include Information:

  • Add your daytime phone number and your shipping address if it differs from your billing address.
5.  Securing the Package:

  • Securely tape the package, paying special attention to the corners.

Core exchange shipments are generally dispatched same day or 1 day after receipt of payment and are shipped via FedEx 2-Day Service with tracking and drop-off without signature unless requested. Rebuilds of products you have shipped to us are generally dispatched within 7-10 days after receipt of payment and products (whichever occurs last, and delays may occur in complicated cases) and are shipped via FedEx 2-Day Service with tracking and drop-off without signature unless requested.

If you prefer other shipment options, such as different carriers, expedited service, required signature or insurance, an additional cost will be applied, so please contact us for such options. Whichever shipment choice you make, we will provide you with a link to track your package online.

Shipping fees include handling, packing and postage costs. In most cases, this actually means that we are taking a loss on shipping by extending a domestic flat shipping rate. We advise you to group your items in one order. We cannot group two distinct orders placed separately, and shipping fees will apply to each of them. Your package will be dispatched at your own risk, but special care is taken to protect your valuable parts.

Top Hydraulics ships to most countries, using FedEx International Priority (which is very fast). You will likely find that our shipping rates are very reasonable, given the speed of service. the shipping cost will show up on the payment page after you have created an account and entered your shipping address. Sending your parts to us for repair is straightforward if you follow the customs and shipping guidelines below. Please ensure compliance with all applicable regulations to avoid delays or additional costs.

Customs Duties and Fees

International parcels entering the U.S. may be subject to customs duties and related fees, depending on the shipment’s value, origin, and purpose. As the customer, you are responsible for these costs. If carriers bill Top Hydraulics for duties or fees on incoming parcels, we will require reimbursement. We will forego such reimbursement if the bill for duties and fees is negligible. To minimize delays and costs, provide accurate and complete customs documentation as outlined below. 

Customs Declaration Requirements

For parcels shipped to us, include the following information in your customs declaration:

 

  • Item description (e.g., “Hydraulic cylinder for repair” or “Hydraulic pump for repair”)
  • Quantity
  • Weight
  • Country of origin (country where the parts were manufactured)
  • HS code (use 8412210080 for hydraulic cylinders, 8413600000 for hydraulic pumps)
  • Value (declare the fair market value of the broken parts)
Declare the fair market value of your parts, keeping in mind that the parts are broken. The lower the value you declare, the lower the customs duties will likely be, as long as the amount is reasonable. You can insure your parcel only up to the amount that has been declared as the value for customs, so your best insurance is good packaging. It is extremely rare that parts get lost on the way to us. If you accidentally declare a high value on the parcel, that is very difficult to reverse and there may be a lot of customs duties collected.

Hazardous Materials Compliance

All hydraulic fluid must be completely drained from pumps and cylinders before shipping to comply with transportation safety regulations (e.g., U.S. DOT, IATA, or IMDG). Residual fluid may result in shipment rejection, fines, or delays. Ensure parts are thoroughly drained and packaged securely to prevent leaks. Contact your carrier for specific requirements. Some customers argue that the cylinders are pneumatic cylinders once all fluid has been drained (HS code 841231) or that pumps are air pumps if they have no fluid in them (HS code 841460), in which case carriers are less hesitant to accept your parcels.


Insurance and Packaging

You may insure your parcel up to the declared value for customs. To protect your parts during shipping, use high-quality packaging. Lost shipments are extremely rare, and proper packaging is your best safeguard.

Return Shipping and Core Refunds

Top Hydraulics does not provide shipping labels for inbound parcels; please use the most suitable carrier and ship the parts at your own expense. Return shipping or core refund delays may occur due to customs processing, inspections, or carrier issues. Please review our terms and conditions for details on core refund eligibility and timelines.
